Administrative Assistant, Engineering – (Lewis Run, PA)

Job Description:

The Administrative Assistant is responsible assembling documents and assisting in the formation of jobs for the Engineering Department. The Administrative Assistant takes direction from the Engineering Manager and or Engineering Supervisor regarding work-load priorities, personal development and departmental projects. This position will require the individual to be flexible and work across a broad spectrum of duties and interact with all members of the Engineering team.

Essential Duties include, but are not limited to:

  • Assemble job folders for the production floor, including all job specific documents such as cut sheets, final component lists, IQ/OQ, drawings, traveler, pick list, P&ID, VSS board cards, etc.
  • Assemble folders for component jobs and machined parts packages for production. Forward documents necessary to appropriate departments.
  • Follow up with the Plant Managers at each facility in coordination with the Job Creation Specialist on status of machined parts and component jobs needed for projects.
  • Complete Job Evaluator paperwork for estimators.
  • Complete forms as necessary according to work instructions.
  • Gather for cut sheets for parts creation in ERP system.
  • Work with vendors on spare parts requirements for supplied components and generate complete spare parts lists.
  • Weld log creation / print / stamp – enter design information into weld logs, print and mark/ stamp with job information for vessels, exchangers and filter housings.
  • Print and stamp drawings for engineering staff.
  • Double check materials in ERP system for accuracy. Validate information prior to sending to production floor.
  • Ability to communicate to all team members as required on status, due dates, etc.
  • Enter prototype items into ERP system for sales to transact against.
  • Coordinate drawing updates and travelers after closeout meetings
  • Enter new parts / pre-order parts / part numbers into ERP system.
  • Manage updates for SFIs and CAPAs
  • Print production work for released job.
  • Responsible for understanding all internal procedures, ABC capabilities and work instructions.
  • Adheres to, supports and enforces all company policies and procedures (personnel, quality, safety), including policies and procedures associated with this position.
  • Assumes any other duties which deal with business concerns as directed by management

Education and/or Experience Required:

  • High school diploma or equivalent skill.
  • Proficient in Microsoft Office.
  • Experience with enterprise resource planning type software a plus.

Skills Required:

  • Good verbal and written English communication skills are required. Must be able to effectively speak and communicate with other departments or personnel, sub-contractors, vendors and customers. Must be able to project a professional image in-person, in-writing and on the telephone.
  • Basic math skills: including addition, subtraction, multiplication and division of whole numbers, fractions and decimals.
  • Good organizational skills, attention to details, and discretion when dealing with confidential information.
  • Able to work with minimum supervision and capable of self-checking work produced for completeness and accuracy.

Full-time Monday through Friday hourly position. Work schedule may have extended hours when need arises.

Job duties will required Administrative Assistant to go out on the production floor.

Position requires reliable transportation to move from one building location to another in Lewis Run, PA.
